1. Introduction & Scope

USVisaPhotoAI (“we”, “us”, or “our”), accessible at https://usvisaphotoai.pro, provides an online passport and visa photo formatting tool.

This Privacy Policy explains what personal information we collect, how we use it, which service providers process it, how long it is kept, and how you can ask us to access, correct, or delete it. We handle personal data in line with applicable data protection laws, including the GDPR and CCPA where they apply.

2. Information We Collect

We try to collect only what we need to make your photo, process your order, and support you:

• Uploaded Photos: Image files (JPEG, PNG, WebP) you upload so we can crop, resize, and replace the background.
• Order Records: When you pay, we store your email address, the URLs of your processed photo and print sheet, a reduced-size copy of your original upload, the selected country, your plan, a hashed (not raw) IP address, and your browser’s user agent.
• Customer Support Data: Information you provide when contacting us (your name, email address, subject, result ID, and message content).
• Analytics & Usage Data: Pages visited, device and browser type, and interaction data collected by Google Analytics and Microsoft Clarity (see Section 4).

4. Cookies, Analytics, and Browser Storage

• Browser Storage (sessionStorage / localStorage): We keep a small preview of your photo, your result URLs, and your country preference in your browser so you can return to your result. Data in localStorage stays after you close the tab; you can remove it at any time by clearing this site’s data in your browser settings.
• Google Analytics: Uses cookies to measure traffic and usage of the site.
• Microsoft Clarity: Uses cookies and can record sessions (clicks, scrolling, and page content), which may include pages that display your photo preview. We use it to find and fix usability problems.

5. Payment Processing

Payments for our Standard ($9.99) and Expert Edit ($16.99) plans are handled by Razorpay. Your card details are entered with Razorpay and never touch our servers; we receive only payment status and order identifiers.

6. Data Retention and Deletion

Processed photos and print sheets are hosted on Cloudinary. When you check out, a reduced-size copy of your original upload is also stored on our Cloudinary account so we can help with support requests and Expert Edit orders. Invoice PDFs are stored on Cloudinary, and order records are stored in MongoDB.

We do not currently delete these files or records automatically. Download links in your emails expire after 72 hours, but the underlying files remain stored until deleted. You can ask us to delete your photos and order data at any time by emailing support@usvisaphotoai.pro; we may need to keep minimal transaction records where required for accounting or tax purposes.

Photos sent to our third-party processing APIs (see Section 7) are subject to those providers’ own retention practices, which we do not control.

7. Service Providers We Use

We do not sell or rent your personal information. We share it only with the service providers needed to run the site, which may process data in countries other than your own:

• Photo processing APIs: Your uploaded photo is sent through our server to a third-party processing API — api.photoresizer.us for US photos and api.pixpassport.com for other countries — to crop, resize, and replace the background.
• Cloudinary: Hosts processed photos, print sheets, reduced-size copies of original uploads, and invoice PDFs.
• MongoDB: Database that stores order and payment records.
• Razorpay: Payment processing.
• Resend: Sends order confirmation and download emails.
• Google Analytics: Website traffic analytics.
• Microsoft Clarity: Usability analytics and session recordings.
• Our hosting provider: Hosts and serves the website and its server functions.

8. Children’s Privacy

USVisaPhotoAI allows parents and legal guardians to format passport photos for infants, toddlers, and children. We do not create user accounts or profiles for children. Any child’s photo should be uploaded only by, or with the consent of, a parent or legal guardian.

9. Your Privacy Rights

Depending on where you live, you may have the following rights regarding your personal information. You can exercise any of them by emailing support@usvisaphotoai.pro:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of inaccurate personal data.
